Administrative Executive

Calcey Technologies is a Gartner recognized software product engineering boutique, building market-leading digital products for enterprise and startup clients across the globe. Calcey’s Colombo office requires the service of an Administrative Executive.

Overview of Role

The Administrative Executive is responsible for providing personalized secretarial and administrative support in a well-organized and timely manner by providing sophisticated management and related administrative functions among multiple organizations.

Responsibilities

  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Maintain diary, arrange meetings and appointments and provide reminders
  • Make travel arrangements
  • Take dictation and minutes and accurately enter data
  • Monitor office supplies and research advantageous deals or suppliers
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system
  • All other secretarial, operational, and administrative duties as and when required

Skills & Qualifications

  • Fast learner and a problem solver with excellent planning, critical thinking, multi-tasking, time management, administration, and organizational skills to meet strict deadlines
  • Logical “do-er” with a great deal of attention to detail & accuracy is a must
  • Minimum two years of experience as an Administrative Executive or in other administrative/secretarial position
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office
  • Proficiency in English
  • High level verbal and written communications skills
  • Love being at the heart of a business and learning from CXOs
  • Ability to proactively research and find information and enjoy preparing reports
  • High level of integrity and discretion in handling confidential information and dealing with people
  • Reliable, self-motivated, able to handle stressful situations and operate in a changing and sometimes undefined environment
  • Understand the value of exceptional service
  • On top of your game in terms of scheduling, screening calls, overseeing emails/diaries, and computer skills
  • Good judgment, and the ability to influence others positively
  • Ability to effectively communicate even when the information is sensitive/difficult
